About the Role:

We are looking for a highly organized and proactive Executive & Personal Assistant to support our CEO. This role blends traditional Executive Assistant duties with Personal Assistant responsibilities, requiring a resourceful individual who can manage professional and personal tasks with discretion and efficiency. Key Responsibilities:

Serve as the primary point of contact between the CEO, executives, employees, and external partners.

Manage the CEO's calendar, schedule meetings, and coordinate travel arrangements, ensuring seamless logistics.

Prepare, review, and edit correspondence, presentations, reports, and other key documents.

Organize and maintain digital and physical files for quick and efficient access.

Conduct research and compile data for reports, presentations, and decision-making.

Oversee personal commitments, including travel, appointments, and family-related tasks.

Handle confidential documents with the utmost discretion and security.

Manage basic bookkeeping tasks, including preparing invoices, financial reports, and expense tracking.

Facilitate internal communication, including announcements and meeting coordination.

Attend meetings, take detailed minutes, and follow up on key action items.

Assist with project management by tracking deadlines and ensuring timely completion.

Represent the CEO at meetings and events when necessary.

What We're Looking For:

Experience: Proven track record as an Executive Assistant, Personal Assistant, or in a similar role supporting senior leadership.

Organizational Skills: Ability to manage multiple priorities and maintain impeccable attention to detail.

Communication: Strong written and verbal communication skills to effectively interact with internal and external stakeholders.

Confidentiality: Ability to handle sensitive information with discretion and professionalism.

Technical Skills: Proficiency in Microsoft Office Suite and scheduling/communication tools.

Problem-Solving: A proactive mindset with the ability to anticipate needs and provide solutions.

Relationship Building: Strong interpersonal skills to foster positive relationships with executives, clients, and team members.

Education: A Bachelor's degree in Business Administration, Communications, or a related field is preferred.

Work Environment & Schedule:

Office-based role, with potential remote flexibility as needed.

Standard business hours (Monday - Friday, 8-hour shifts), with occasional flexibility required based on the CEO's schedule.
